How we receive the personal information and why we keep it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To maintain the society’s membership records.
  • To maintain contact details to ensure you receive your copy of the International Journal of Paediatric Dentistry.
  • Your agreed Direct Debit for the Society subscription payment.

How we receive the special categories of personal information and why we keep it

The special personal information we process is provided to us directly by members or prospective members voluntarily for the following reason:

  • Help us ensure that the Society reflects and attracts the professionals we represent and the patients we treat.

We also receive personal information indirectly, from the following sources in the following scenarios:

  • The Publisher of the International Journal of Paediatric Dentistry is John Wiley & Sons. The Society sometimes receives your personal information from the Publisher (such as your contact details) if you have updated them directly with the Publisher.
  • The conference organiser. The Society receives personal data of members and non-members who attend the annual scientific conference.

We use the data that they have given us in order to maintain our membership records and check the status of members’ subscriptions.

Sharing your Information

We share your personal information with:

  • The Publisher of the International Journal of Paediatric Dentistry; John Wiley & Sons.
  • The Society’s conference organiser.
  • The Royal College of Surgeons of England, who provide administrative and secretariat support to the Society.
  • Dataware Consultancy Centre Limited, the provider of the Society’s electronic database and its website host.
  • The Society’s media advisor(s).

The Society shares members’ information to ensure that they receive the benefits of their membership.

Processing special category personal information

Any special category data members or prospective members have shared with the Society is processed anonymously.

Bases for processing personal information

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You have given us your consent for processing your personal data. You are able to remove your consent at any time. You can do this by contacting administrator@bspd.co.uk.

(b) We have a legitimate interest. The processing of your personal data may be necessary for the purposes of the legitimate interests pursued by us or by a third party, except where such interests are overridden by your interests or by fundamental rights and freedoms which require protection of personal data.

How we store your personal information

The Society takes the security of your personal information very seriously and have appropriate technical and administrative procedures in place to help protect your personal information from unauthorised access, use or disclosure as required by law.

The Society’s encrypted database is stored via a two factor authentication process using an encrypted server hosted by The Royal College of Surgeons of England.

We keep members’ personal data to maintain the historical records of the Society. We do not routinely dispose of your information. Should you wish for your data to be erased, please contact administrator@bspd.co.uk.
